Channel partners: partner master, sales reports and stock in channel

Create channel partners, record their sales reports, and track stock held with each partner, partner scorecards and SOR ageing.

Overview

Channel Partners tracks the stores and marketplaces that sell your goods, such as large-format retailers, marketplaces, franchises and shop-in-shops. On one page you keep the Partner Master, record the sales each partner reports, and see how much of your stock is still with each partner.

Guidelines

  1. Use a clear, unique partner code

    Each partner needs its own code, for example KC-CP-AB-006. The form will not let you reuse a code that another partner already has.

  2. Record sales reports on the partner's schedule

    Set the Report frequency to match how often the partner sends sales (daily, weekly or monthly), and record each report as it arrives so stock in channel stays current.

Steps

  1. Step 1: Open Channel Partners

    Go to Channel Partners → Partner Master. The Channel Partners page shows the number of partners, forms for creating partners and recording sales reports, and tables for the partner master, stock, sales history, scorecard and SOR ageing. Click Refresh to reload them.

  2. Step 2: Create a partner

    Under Create Partner, enter a unique Code and the Name (both required). Choose the Type (LFR, MARKETPLACE, FRANCHISE or SHOP_IN_SHOP) and Agreement (SOR, CONSIGNMENT or FIXED_PURCHASE). Optionally enter the Trade discount % and Payment terms, and choose the Report format and Report frequency. Click Create Partner.

  3. Step 3: Review the Partner Master

    The Partner Master table lists each partner's Code, Partner, Type, Agreement, Trade Discount % and Report Freq. Org owners and admins also see a Fulfilling warehouse column, where they can choose the warehouse that supplies the partner.

  4. Step 4: Record a partner sales report

    Under Sales Report Ingest / Reconcile, choose the Partner, enter the Period start and Period end, and optionally the Source file name. Enter the line: Partner SKU code or SKU ID, Sold qty, Sold value and Closing stock qty. Click Process Sales Report.

    To reconcile a report you have already recorded, enter its ID in Existing report ID to reconcile and click Process Sales Report.

  5. Step 5: Check stock held by a partner

    Choose a partner in Selected partner, or click View Stock on its row. Selected Partner Stock shows, per SKU, the quantity Dispatched, Sold, Returned and In Channel, with the First Dispatch and Last Report dates.

  6. Step 6: Review history, scorecard and ageing

    Further down, Imported Sales History lists recorded partner sales, Partner Scorecard compares partners for the month to date, and SOR Ageing shows how long sale-or-return stock has been with partners. For the full list of past partner sales, go to Records → Partner Sales Records.

Terms

SOR

Sale or return. The partner pays only for what it sells and can return unsold stock.

In Channel

Stock you have dispatched to the partner that has not yet been reported as sold or returned.

LFR

Large-format retailer, such as a department-store chain.

  • The sales report form records one SKU line at a time.

FAQs

Create Partner is greyed out.

The code you typed is already used by another partner. The message under the Code field names that partner. Choose a different code.

Why is a partner's stock table empty?

Choose the partner in Selected partner, or click View Stock on its row. If it is still empty, no stock has been dispatched to that partner yet.

I can't see the Create Partner form.

Creating partners and recording sales reports need edit access to Channel Partners. Ask your administrator.
