Managing customers and membership tiers

Find and add customers, see their purchases and store visits, set up membership tiers, and assign tiers and points.

Overview

The Customers menu holds your customer records and your loyalty programme. Customer List lets you search, add and edit customers and open each customer's page, with their profile, purchases, the stores they visit and their membership. Membership Tiers is where you define tiers such as Silver or Gold, each with its own points earn rate.

Guidelines

  1. Set up tiers before assigning them

    A customer can only be given a tier that already exists. Create your tiers under Membership Tiers first.

  2. Make customers inactive rather than deleting them

    If a customer should no longer be used, open their page and set Status to Inactive on the Profile tab. Their purchase history stays easy to find.

  3. Record a reason for manual points changes

    When you add or deduct points by hand, fill in Description so others can see why the balance changed.

Steps

  1. Step 1: Open the Customer List

    Go to Customers → Customer List. Narrow the list with Organization, Search (name or phone) and Status (Active or Inactive). Each row shows Name, Phone, Email, Status and Joined. Use Export CSV to download the rows on the current page.

  2. Step 2: Add or edit a customer

    Choose an Organization first, then click Add Customer. Enter First Name, Last Name and Phone (all required) and, optionally, Email, then click Create Customer. To change details later, click the pencil icon on the customer's row and click Save Changes.

  3. Step 3: Open a customer's page

    Click the customer's name. The Profile tab shows their details, including Customer ID and Member Since. Click Edit to change their name, phone, email or Status, then Save.

  4. Step 4: Review purchases and store visits

    The Purchases tab shows Total Orders and Total Spent, with each sale's Date, Site, Amount and Status. Use From and To to filter by date. The Store Map tab shows, for each store, the number of Visits, Total Spent and Avg. Order.

  5. Step 5: Set up membership tiers

    Go to Customers → Membership Tiers and choose an Organization. Click New Tier and enter Tier Name, Min Points Required and Earn Rate (pts per ₹), choose the Status, and click Create. Use the pencil icon to edit a tier.

  6. Step 6: Assign a tier to a customer

    On the customer's page, open Membership & Points and click Assign Tier (or Change Tier if they already have one). Choose the tier under Select Tier and click Assign. The tab then shows the Tier, Points Balance, Lifetime Points and Member Since.

  7. Step 7: Adjust a customer's points

    On Membership & Points, click Adjust Points. Choose Add Points or Deduct Points, enter the Points and an optional Description, and click Confirm.

Terms

Membership tier

A loyalty level, such as Silver or Gold, with its own minimum points and earn rate.

Earn rate

How quickly a customer on this tier earns points when they buy.

Points Balance

The points the customer can use now.

Lifetime Points

The total points the customer has earned since joining.

Key points

  • Tiers are assigned to each customer from their Membership & Points tab.

  • Customers with a membership earn points on paid sales at the till, at their tier's earn rate.

  • Points can only be adjusted for a customer who has a membership.

Notes

  • The Customers menu appears only when the customer loyalty feature is enabled for your organisation.

  • You can add, edit and delete customers and tiers only if your role has edit access to Customers.

Warnings

  • Deleting a customer can't be undone from the Customer List. To stop using a customer, set their Status to Inactive instead.

  • You can't delete a membership tier while customers are still active on it. Move them to another tier first.

FAQs

Why is New Tier greyed out?

Choose an Organization at the top of the page first. Tiers belong to one organisation.

Why can't I deduct points from a customer?

Deducting more points than the customer's Points Balance is not allowed, and the customer must have a membership tier assigned.

Does Export CSV download every customer?

It downloads the customers shown on the current page. Choose a larger page size, or change page, to export more.
