KPI overview: track store performance against targets

View a site's KPI dashboard, define metrics, set targets and compute or correct the daily KPI facts behind them.

Overview

The KPI section tracks each site's daily performance and compares it with the targets you set. It has four pages under KPI in the sidebar: Dashboard shows a site's figures for a date range, Metrics defines what you measure, Targets sets the values to aim for, and Daily Facts holds the computed figures for each site and day.

Guidelines

  1. Compute facts before you read the dashboard

    The dashboard reads the daily facts. If a site has no facts for the period, click Compute Today's KPIs or Recompute for Period on the dashboard, or Compute All Dates on Daily Facts.

  2. Recompute after importing sales

    When sales for past days are imported or corrected, recompute those dates so the facts pick up the new data.

  3. Use org-wide targets unless a site needs its own

    A target with no site applies to All Sites (Org-wide). Add a site-specific target only where that site should aim for a different value.

Steps

  1. Step 1: Open the KPI dashboard

    Go to KPI → Dashboard. Choose a Site and set the From Date and To Date (the last 30 days by default). The cards show Net Sales, Avg Daily Sales, Bills Paid (with AOV), Units Sold (with UPT), Shrink Value and EAS Events.

  2. Step 2: Compare against targets

    If targets exist, Target Performance shows each metric's actual against its target, the % of target, and a status of On track, Near target or Below target. Daily Trend lists each day's Net Sales, Bills, Units, AOV, Discount and Shrink, and Active Metrics lists the metrics in use.

  3. Step 3: Refresh the figures

    Click Compute Today's KPIs to calculate today's figures for the selected site, or Recompute for Period to recalculate every date in the range. Progress shows as Recomputing… x/y.

  4. Step 4: Define metrics

    Open KPI → Metrics. Search, filter by category, and tick Show Inactive to include switched-off metrics. Click Add Metric and enter the Metric Code (required, saved in capitals and not changeable later), Metric Name (required), Category, Unit, Description and Calculation Notes, then click Create. Use the edit button on a metric to change it or untick Active.

  5. Step 5: Set targets

    Open KPI → Targets and click Add Target. Choose the Metric (required), Site (optional) and Period (DAILY, WEEKLY, MONTHLY or QUARTERLY). Enter Effective From (required), Effective To, Target Value (required), and optionally a Warning Threshold and Critical Threshold, then click Create. Filter the list by site and period.

  6. Step 6: Review and correct daily facts

    Open KPI → Daily Facts, choose a Site and set From and To (the arrows move the range 30 days at a time). The table shows each day's Net Sales, Gross Sales, Bills, Units, Discount, Returns, Voids, Shrink, Damage, EAS Events and when it was Computed, with a Period Summary below. If some dates have no facts, a banner counts them; click Compute all to fill them. Use Recompute on a row to recalculate one day, or Edit to correct its sales figures and click Save Changes.

Terms

AOV

Average order value: net sales divided by the number of bills paid.

UPT

Units per transaction: the average number of units on each bill.

Daily fact

One site's computed KPI figures for one business day.

On track / Near target / Below target

On track means the actual is at or above the target, Near target means at least 80% of it, and Below target means less than 80%.

Key points

  • Pick a site first: the dashboard and Daily Facts show nothing until one is selected.

  • Targets with no site apply organisation-wide.

  • Recompute dates after importing past sales.

Notes

Computing, editing and deleting need edit access to KPI. Without it, the buttons don't appear.

Warnings

  • Deleting a target is permanent and can't be undone.

  • Recomputing a day replaces that day's figures with freshly calculated ones, so any corrections you made with Edit are overwritten.

FAQs

The dashboard says No KPI Data. What should I do?

No daily facts exist for that site and period yet. Click Compute Today's KPIs, or Recompute for Period to fill the whole date range.

I imported last month's sales but the KPIs haven't changed.

Recompute the daily facts so they pick up the imported sales. Select the site and range and click Recompute for Period on the dashboard, or Compute All Dates on Daily Facts.

Why don't I see Target Performance?

It appears only when targets exist for the selected site or organisation. Add them on KPI → Targets.
