Labels and RFID: print jobs, templates, printers, tags and readers

Create barcode and RFID label jobs, manage label templates and printers, track EPC tags and look after RFID readers.

Overview

The Labels & RFID menu covers printing product labels and tracking RFID tags. You set up Printers and Label Templates, create Label Print Jobs for barcode or RFID labels, confirm them once the labels are on the goods, and then follow each RFID tag (EPC) and reader.

Guidelines

  1. Set up printers and templates first

    A label job needs a printer at the site and a matching template. Add the printer under Printers and a neutral layout under Label Templates before you create your first job.

  2. Confirm only after the labels are on the goods

    Confirm Printed & Applied is the step that records the new barcodes and unit identities. Use it only once the labels are printed and stuck on.

Steps

  1. Step 1: Add a label printer

    Go to Labels & RFID → Printers and choose the organization and site. Click Add printer and enter the Printer name, Private IP address and Port (required), plus Resolution, Command language, Print method and Media type. Tick Supports barcode and/or Supports RFID encoding, then click Save printer. Use Queue test on a printer card to send a test label.

  2. Step 2: Create a label template

    Go to Labels & RFID → Label Templates. Click New Neutral Layout, choose the Organization, enter a Template Name, choose the DPI and RFID use (Barcode labels or Barcode + RFID), and edit the Neutral Layout JSON. Click Save Neutral Layout. Each template card shows its size, DPI, layout and use; click Preview to see it.

  3. Step 3: Open Label Print Jobs

    Go to Labels & RFID → Label Print Jobs. Filter by Organization, Site and Status (Pending, In progress, Completed or Failed). Each job shows its site, technology, identity, status and created time.

  4. Step 4: Create a label job

    Click New label job. Under 1. Purpose, choose Barcode Labels, RFID Encode + Print or RFID Encode Only. Choose the Organization, Site and Barcode identity: SKU-wise repeats one barcode, Unit-wise gives each unit its own. Under 2. Input, enter lines by hand (SKU Code, optional Barcode, units) or choose a CSV / XLSX file with SKU Code and Units columns. Choose the 3. Printer and 4. Template, then click Review resolution.

  5. Step 5: Review and create the job

    The review shows which rows are ready, which are blocked and whether the printer and template are Compatible. If a brand in your file is not in the catalog, you can accept the suggested brand or add it as a new brand. Click Create & materialize job.

  6. Step 6: Print and confirm

    Click View on the job. Check the Label-level progress and Printable preview, then click Queue to site printer, or use Export & mark physically handed off to download the labels for printing elsewhere. Download CSV preview downloads them without marking anything. Once the labels are printed and applied, click Confirm Printed & Applied, tick I confirm these labels were printed and applied and confirm.

  7. Step 7: Track EPC tags

    Go to Labels & RFID → EPC Tags. Summary cards count tags by state, such as ENCODED, IN_STOCK, SOLD and DAMAGED. Filter by Site and State, or use Search EPC. On a tag, click History to see its changes, Update State to change its state with a reason, or Reassign RFID to replace a damaged sticker with a new EPC.

  8. Step 8: Manage RFID readers

    Go to Labels & RFID → RFID Readers. The RFID Devices page shows Total Readers, Online, POS Terminals and Active Assignments. Search or filter readers by status, click a reader to see its Assignment History, and use the edit and delete icons to change or remove it. Click Scan Network to look for readers on a subnet.

Terms

EPC

Electronic Product Code: the unique number stored on an RFID tag.

SKU-wise / Unit-wise

SKU-wise labels repeat one barcode for every unit of a SKU. Unit-wise labels give each unit its own unique barcode.

Neutral layout

A label template measured in millimetres that can be printed on ZPL, TSPL/TSPL2 or SBPL printers. New jobs use neutral layouts.

Key points

  • Only neutral layout templates can be chosen for new label jobs.

  • A job cannot be confirmed while it has catalog conflicts.

  • A tag that is already SOLD cannot be reassigned. Void the sale first.

Notes

  • Legacy RFID printers and legacy ZPL templates still appear on their pages but cannot be used for new label jobs.

  • Reprint is shown as a purpose in the new job form but is not available yet.

Warnings

  • Confirm Printed & Applied records the job's barcodes and unit identities in the catalog. Do it only once the labels are on the goods.

  • Reassign RFID marks the old tag as DAMAGED and creates a new IN_STOCK tag for the same SKU and site.

  • Deleting a printer, a legacy ZPL template or an RFID reader cannot be undone.

FAQs

My printer is not in the list when I create a label job.

Printers are listed per site. Check that you chose the right site, and that the printer was added under Labels & RFID → Printers rather than being a legacy RFID printer.

Create & materialize job is greyed out.

Either no rows are ready or the printer and template are not compatible. Check the review for blocked rows and choose a printer that supports the technology and template you picked.

An RFID sticker is torn. How do I replace it?

Find the tag under EPC Tags, click Reassign RFID, scan or enter the new EPC and add a reason. The old tag is marked DAMAGED and the new one takes its place.
