Finding and reviewing store sales orders
Filter your store sales, open an order to see its items, discounts and GST, print the invoice, request a refund, or key in a sale by hand.

Overview
Every sale made at your stores is recorded as an order. The Orders page lists them with their site, customer, amount, payment method and status. Open an order to see its line items and GST breakdown, print the tax invoice, or request a refund.

Filter by site and date first
Choose the organisation, site and date range before searching. It keeps the list short and the export focused.
Use refunds, not new orders, to correct a sale
If a customer returns goods or was overcharged, open the original order and use Request Refund so the refund is linked to that sale.
Steps
Step 1: Open Orders and filter
Click Orders in the sidebar. Filter by organisation (All Orgs), site (All Sites), a from and to date, and status (Created, Paid, Cancelled or Refunded). Search by Order ID / customer. Each row shows Order ID, Date & Time, Site, Customer, Net Amount, Payment and Status.
Step 2: Show cancelled orders
Cancelled orders are hidden by default. With All Statuses selected, tick Show cancelled to include them, or choose Cancelled in the status filter to see only those.
Step 3: Export the list
Click Export CSV to download the orders on the current page, with gross, discount, tax and net amounts, payment method and status.
Step 4: Open an order
Click an Order ID. You see the Customer (or Walk-in customer), the Payment tenders and the Order Date. Line Items lists each SKU's Qty, Unit Price, Discount, Tax and Total, followed by Total MRP, Discount, Taxable Value, GST and Amount Payable.
Step 5: Print the invoice or credit note
Click Print Invoice to open the tax invoice in a new tab. For a refunded order, Print Credit Note is also shown.
Step 6: Request a refund
On a Paid order, click Request Refund. Choose the Payment Tender if the sale was paid more than one way, enter the Refund Amount (₹), choose a Reason and add Notes (optional). Click Submit Request. You are taken to Refunds to follow the request.
Step 7: Add an order by hand
Click Add Order. Choose the Organization and Site. Optionally enter the customer's name, phone and email; leave them blank for a walk-in. Search for items by SKU, name or barcode and set quantities. Under Payment, choose the Method (Cash, Card, UPI or Other / Online), enter an Amount (₹) equal to the order total, and a Transaction ID for any method other than cash. Click Create Order.
Terms
- Net Amount
What the customer paid for the order, after discounts and including GST.
- Taxable Value
The order value after discount, with GST taken out.
- Walk-in
A sale with no customer details recorded.
- Cancelled
A sale that was reversed. It carries no revenue and is hidden from the list by default.
Key points
Prices are GST-inclusive; the order page shows how much of the amount is GST.
Request Refund appears only on orders with the status Paid.
An order added by hand is recorded as paid straight away.
Notes
Items in Add Order are charged at their MRP. You can't add a discount there.
You can't add more units of an item than the site has available.
Add Order is shown only if your role can edit Orders, and Request Refund only if it can edit Payments for that store.
FAQs
Why can't I see a sale I know was cancelled?
Cancelled orders are hidden by default. Tick Show cancelled, or choose Cancelled in the status filter.
Why is Create Order disabled?
Check that a site is chosen, at least one item is added, the Amount (₹) equals the order total exactly, and a Transaction ID is entered for card, UPI or online payments.
Does Request Refund pay the customer back straight away?
No. It creates a refund request, which you then follow on the Refunds page.
