First-time setup checklist

The recommended order to set up a new organization: organization, sites, locations, bins, users and roles, then catalog.

Overview

Setting up a new business in Upflow Sprint works best in a fixed order, because each step uses what the previous one created: stores and warehouses need an organization, bins need sites and locations, and users are assigned to the organization and its sites.

Guidelines

  1. Who should do this

    The Organization Owner or an Organization Admin. The first user of a new organization becomes its Organization Owner.

  2. Get the codes right

    Site, location and bin codes appear on documents, labels and reports. Agree a naming scheme before you start.

Steps

  1. Step 1: Create the organization

    Go to Organizations and click Onboard Organization. The wizard has five steps:

    1. Basics — Organization name, Org code, Currency (default INR), Country code, contact email and phone.
    2. Industry — choose Industry and Sub-industry.
    3. Business model — e.g. Sourcing brand + own stores, Manufacture + own stores, Own stores + channel partners.
    4. Modules — keep the recommended modules or adjust them.
    5. Confirm — click Create Organization.

    If approval is required, the organization waits for a platform admin before it becomes active.

  2. Step 2: Complete company details

    Open your organization and fill in address, GSTIN, PAN, CIN and owner details, then click Save Changes. These appear on invoices and documents.

  3. Step 3: Add your sites

    Go to Sites and click Add Site for every warehouse and store. Set the Site Type (Warehouse or Store), code, name, timezone and address, and whether the site is Company-owned or a Franchise.

  4. Step 4: Add locations inside each site

    Go to Locations and click Add Location. Choose the site and a Location Type such as Sales Floor, Backroom, Receiving Area, QC Zone, Packing Station or Dispatch Lane.

  5. Step 5: Add bins

    Go to Bins and click Add Bin. Pick the site and location and a Bin Type: Pick (Active selling), Replenishment, Overflow Storage, Quarantine, Returns, Dispatch or General.

  6. Step 6: Invite your team

    Go to Users and click Invite User. Choose the organization and an Initial Role; for site-level roles (for example Store Manager or Cashier) also choose the Initial Site. See Inviting users and managing their roles.

  7. Step 7: Review roles and permissions

    In Settings → Roles & Permissions, adjust what each role can see and edit for your organization if the defaults don't fit. See Roles and permissions explained.

  8. Step 8: Load your catalog

    In Catalog, add Articles and SKUs one by one, or bulk-load master data with Magic Import.

Terms

Business model

How your company trades (sourcing, manufacturing, own stores, channel partners, B2B). It decides which modules are recommended.

Franchise site

A store run by a partner who bills under their own GSTIN.

Key points

  • Order matters: organization → sites → locations → bins → users → catalog.

  • Modules can be changed later in Settings → Industry Modules.

Notes

A new organization may show pending approval in the header until a platform admin approves it.

Warnings

Site, location and bin codes are referenced across documents — avoid renaming them once transactions exist.

FAQs

Can I change the business model or modules later?

Yes. Go to Settings → Industry Modules (Industry & Module Configuration).

Who can invite the Organization Owner?

Only a platform admin can assign the Organization Owner role.
